Your admin. Not your time.
Back Pocket Office is like a part-time admin who covers all five days of your week, for New Zealand trade and service businesses. Send the job from your phone the way you already do, and a real person here in New Zealand takes it from there.
Why Back Pocket Office
You send jobs and approve quotes on WhatsApp, and the paperwork lands in your own Xero or MYOB, or goes out on your own branded templates. Nothing new to learn.
Voice note, photo, text or email. It’s hands-off for you, with a real person in New Zealand behind every job. And if anything needs sorting, you can talk to the owner, there and then.
On from 7:30 to 5:30, Monday to Friday. Send it from site, the ute or the coffee shop, and it’s moving before you’re home.
Rough notes become clear, professional quotes, with a translated copy when your customer wants one. Your books stay tidy, every quote is followed up, and your report gives you pointers from your own numbers. It gets better the longer we work together.
Put in your own numbers and see how much work your quiet quotes could be winning you back each month.
How it works
However’s easiest: a voice note, a text, a forwarded email, a photo, or some notes on a pie wrapper.
This is the big bit, and it’s all on us. We transcribe it, check it against your prices, terms and preferences, ask anything we need to in one go, then draft and design the quote, load it into your Xero, MYOB or your own template, and line up the follow-ups. When the job’s done, we invoice it and chase it until it’s paid.
Have a look, reply yes, and it’s out the door in your name.
*Bookkeeping comes with Office and Head Office, in Xero or MYOB. GST returns, tax and year-end stay with your accountant.
Try it free · no sign-up
Tell us about a real job, the way you’d tell a mate. We’ll send back a quote that looks the business, in your name, ready to go. Free, no strings.
Sample quotes use example price lists, so the figures are for illustration only. Once you’re a client, every quote uses your prices, your terms and the way you like things done.
30 seconds
Less time on quotes at night, more jobs won, and money in the bank sooner.
Why it’s worth it
Hire a part-timer for one day a week and you’ll pay about $1,160 a month for someone who’s there 8 till 5 on that one day. Our Office plan is $995 + GST a month, with your accounts kept tidy too (Pocket is $595), and a real person is on from 7:30 to 5:30, Monday to Friday, whenever you need them. No wages, no training, no leave cover, no desk.
Part-timer: 8 hours a week at about $30 an hour, the middle of the usual $51,000 to $75,000 a year for office administrators (careers.govt.nz), plus about 8% for leave and public holidays and 3.5% KiwiSaver. Before ACC levies, recruitment, training and cover.
Quiet quotes, slow invoices and unanswered enquiries can cost you thousands a month. We follow up every quote and chase every invoice, and the free check shows you your own numbers first.
On Office, your bills and receipts are matched to jobs and your bank is reconciled every week. You always know where you stand, and year-end stops being a scramble.
Quotes back the same working day, and prioritised for a faster turnaround on Office. Smart tools do the drafting and any translated copies; a real person checks every quote against your prices, and nothing goes out without your OK.
How it fits with your software
Software is a tool, and someone still has to use it: write the quote, follow it up, send the invoice, chase the money. That’s what we take off you, inside the accounts you already have.
1 · The base, for everyone
Everything happens in your own account, under your name and branding. Not on Xero or MYOB? On Pocket, quotes and invoices go out on your own branded template. Payments land in your bank, not ours. If you ever stop, it all stays put.
2 · Got a job app as well? Keep it.
We slot in around the way you already work.We work straight into it
Quotes go into ServiceM8 with line items, photos and job notes, ready for you to send as usual. Invoices keep syncing to Xero or MYOB, and we chase them.
You keep: scheduling, dispatch, job tracking and on-site payments.
We work in it as one of your team
Tradify doesn’t let outside services add quotes, so you give us access and we key them in for you to send. Invoices still sync to Xero or MYOB, and we chase them from there.
You keep: scheduling, timesheets and job tracking.
We work in it as one of your team
You give us a login, and we put your quotes and invoices into Fergus for you to send. Invoices still sync to your accounts, and we chase them from there.
You keep: scheduling, job tracking and timesheets.
You don’t need one
Xero or MYOB plus Back Pocket Office covers everything from quote to paid. No new software to learn or pay for.
Need scheduling later? Add an app and we’ll fit around it.
Handling your quotes and invoices in ServiceM8, Tradify or Fergus comes with Head Office. We need a login that can create quotes and invoices, and some apps charge for an extra user. We don’t do scheduling, dispatch or job tracking: that stays in your job app.
Your report
What you quoted, what you won, what’s still owed, and one thing to try next. Designed, short, and in your inbox: monthly on Pocket, every Monday on Office and Head Office.

Gets sharper every job
Every job teaches Back Pocket Office a bit more about your prices, your jobs and your customers. So quotes come back quicker, and more of them turn into money in the bank.
Ready-made kits for the jobs you do most, built from your own past quotes. Send a photo of the switchboard, the cylinder’s data plate or the plans, and we read it for you.
The damage you found, any concerns and what else might need fixing, written up tidy, with your before and after photos kept on the job.
Every job is checked against your prices and requirements before it’s quoted. If something’s not there, we come back to you with the questions in one go.
More work found on the job? One voice note and your customer gets a priced variation to approve. Lost a quote? Tell us why and we’ll help you convert next time.

Your prices, quotes and customers are yours. They’re only used for your work, never shared with other clients, and you can take a copy any time. Every prompt is a suggestion: we’ll never push work your customer doesn’t need.

I’m Richard van den Bos, and I’m based in Auckland.
I’ve seen business done in every way there is. I’ve seen business done on the back of a 4x2, and I’ve seen hundred-thousand-dollar ad campaigns amount to nothing.
What I learned is simple: software doesn’t get you paid. People using it well do. Too often, tech becomes something to hide behind instead of something that gets results.
I’m a tech person, but I know not everyone is, and nobody should have to be. That’s why I started Back Pocket Office. With Back Pocket Office, the right amount of tech goes into every job, so I can deliver the results that matter for your business. It’s careful, quick admin, with a real person behind every job. If anything needs sorting, you talk to me, not a call centre.

No. If you quote on the go from your own rates, by the metre, the room or the job, it’s for you: painters, flooring layers, fencers, tilers, cleaners, plumbers, sparkies, builders and more. Pocket suits busy owners who keep things lean and simple; Office suits owners who want tidy accounts too; Head Office suits businesses using ServiceM8, Tradify or Fergus.
No. Save Back Pocket Office’s number in your phone and message it on WhatsApp or by text: a voice note, a photo of your notes, or a customer’s message forwarded on. Website enquiries and customer emails can be forwarded to your Back Pocket Office email address. We recognise your number, so we know it’s you. You check quotes and reply yes in the same chat.
No. It’s a service. Software gives you the tools; Back Pocket Office does the work. A real person runs your quoting, invoicing and chasing (and on Office, your bookkeeping) inside the software you already have. You message one number and reply yes.
They’re great tools, but someone still has to drive them: write the quotes, follow them up, send the invoices and chase the money. That’s the bit we do. In your app we put quotes in, mark them won or lost, and raise the invoices. Scheduling, dispatch, timesheets and stock stay with you. No job app? You don’t need one: Xero or MYOB is enough.
Three fixed monthly plans, NZD plus GST: Pocket $595 (up to 20 quotes and invoices a month, same-working-day quotes, follow-ups, invoicing and chasing, translated quotes on request and a monthly report), Office $995 (up to 50, faster turnaround on quotes, repeat work reminders, tidy accounts with weekly bookkeeping in Xero or MYOB, a weekly report, Google review requests and matching customer paperwork) and Head Office from $1,495 (50 included with top-ups, working in ServiceM8, Tradify or Fergus, first in the queue, a monthly check-in call, a quarterly price review and notes on lost quotes). Each plan has a one-off setup and onboarding fee of one month’s fee (up to $995), paid up front or spread over your first 12 months. No hourly billing. Refer another business and your next month is free.
Not on Pocket. If you use Xero or MYOB, quotes and invoices go out from there in your name. If you don’t, they go out on your own professional template, with your logo, payment details and terms. Office includes bookkeeping, so it needs Xero or MYOB. We set it all up at onboarding.
On Office and Head Office we do the day-to-day bookkeeping: supplier bills and receipts entered and matched to jobs, and your bank reconciled every week in Xero or MYOB, following your accountant’s rules. GST returns, tax and year-end stay with your accountant, and they’ll get clean, up-to-date files.
Yes, on every plan, on request. Any quote can come with an AI-translated copy, in Mandarin for example, for customers who’d rather read it in their own language. It’s made from your English quote, using item names set up at onboarding, and notes that the English quote is the official one. Your terms of trade stay in English. It’s a small touch that can win the job.
Fast, because the first good quote often wins the job. On Pocket, the same working day. Office quotes are prioritised for a faster turnaround, and Head Office jobs go first in the queue. If anything that changes the price is missing, you get a short list of questions in one message, not a guess. Notes sent after hours are done first thing next working day.
Yes, behind the scenes, the same way an accountant uses software. It helps with the quick drafting and data entry. A real person checks every item, and you approve anything that goes to a customer.
A 20-minute chat about your open quotes, unanswered enquiries and overdue invoices. In Auckland we can do it over a beer or a coffee at your local; anywhere else by phone or video. You get a one-page summary the next day. No pitch, no obligation.
Those apps make you faster at doing it yourself. Back Pocket Office makes it not your job: we draft, check, send, follow up, invoice and chase, keep your books tidy on Office, and you just approve.
Only the minimum we need to do the work: a limited user login on your accounting or job software, never your bank login and never your own password. Your information is used only to do your work and get better at it for you. It’s never used to train public AI models and never shared with other clients. You can take a copy any time, and we never approve payments. See our privacy page for the detail.
Monthly plans stop on 30 days’ notice. There’s a named backup for leave and sickness, and everything lives in your own Xero or MYOB, so nothing is stuck with us.
